How does the digital restaurant waitlist work?

The restaurant waitlist feature will help you avoid last minute empty tables at your restaurant, and ensures that all your guests are happy while your staff can focus on delivering the best customer service. By activating the waitlist feature, you can allow guests to sign up for the waitlist in the online booking flow when you are fully booked, or do it yourself through the app. You decide on which days and times the waitlist is available if fully booked and how many entries can be on the waitlist per interval. When a table becomes available, and you have confirmed that someone on the waitlist wants it, it only takes a few clicks to drag the booking from the waitlist to the available table.

Easily convert waitlist guests to a standard booking

A digital waitlist will save your staff time and a lot of effort since the whole process is digital and automated. If the guest can’t find an available table at the time they would like to visit your restaurant, it will be clearly shown to them on the booking form that the time is booked but waitlist sign up is available. Once the guests sign up for the waitlist, the request will automatically be added to your schedule. Via the schedule, you can easily convert the waitlist request to a standard booking with a table. The guest will be automatically notified so you don’t have to spend time manually contacting the guests. In this way, you don’t have to take a bunch of phone calls from customers who wants to be on a waitlist.

How the guest signs up for the waitlist – step by step

Step 1. Guests chooses a preferred time

Clearly indicate that this time is a waitlist time that the guest can sign up to directly via the booking form and widget.

Step 2. Adding contact information

The guest adds the information needed for the restaurant to reach out to the guests when there is an available table.

Step 3. The guest is added to the waitlist

By the end of booking flow the guest will receive a confirmation that they have been added to the waitlist. Guest can also cancel waitlist entry.

Step 4. Guest receives an update notification

A notification will automatically be send to the guest confirming that they have been added to the waitlist.

Step 5. Guest receives a booking confirmation

Once you have an available table you can convert the waitlist guest to a regular booking and send a confirmation.

Frequently asked questions

Can I edit the message guests get when they sign up for the waitlist?

It is unfortunately not possible to edit the message that is sent to guests when signing up for the waitlist or if their booking gets converted from the waitlist to an actual booking. The notifications are default at the moment.

How can I activate the waitlist management for specific dates only?

All you have to do is go to Settings -> Opening hours and create a "Special opening hour" that is Open. Here you can activate the waitlist feature. This is useful if you arrange events on specific dates where guests can join the waitlist.

Can I charge a prepayment for waitlist reservations?

Please note that prepayments and no-show fees are not available for bookings added from the waitlist. Although, this might be a setting that we will develop sometime in the future.

How much does a waitlist management system cost?

If you choose to work with resOS' restaurant booking system then you don't have to worry at all about costs. The waitlist feature, as well as all other resOS features, will already be included in your subscription, so you don't have to pay extra for any features.
